Competition Conditions

Submission Requirements

Stage 1 :

- A1 boards : Competitors should submit their design proposals on a maximum of three A1 lightweight boards, to include all illustrations, drawings and descriptive text. The scale and nature of drawings and plans is left to competitors’ discretion.
- On a maximum of 10 A4 double sided pages, an accompanying report to include a motivation statement outlining the approach, philosophy and design principles.  This should also include a statement relating to cost management and this should include an indication as to how the scheme responds to the budget identified for this project. 
- A CD ROM containing a pdf version of the A1 boards and the A4 report.
- The completed declaration form, placed in a sealed envelope marked ‘declaration of authorship’


Competitors should note the anonymity requirements.

Submissions should be contained in a single package and sent, carriage paid, addressed to the RIBA Competitions Office to arrive no later that 14.00 hours Friday 31st October 2008.   The package should be marked ‘Glyndwr University Residences Competition’.

Stage 2 :  

Shortlisted teams will be required to attend an interview with the Jury Panel.  In advance of the interview teams will be required to provide a 20 sides of A4 (10 A4 double sided) to provide the following information :

- A maximum of 8 pages to provide :
- Full contact details of the architectural consultant with designated point of contact for the competition.
    - An introduction to the practice.
- Details and brief CV’s of key people within the practice proposed for this project.
    - Details of current professional indemnity insurance.
- Details of proposed consultants with whom the architectural practice would propose to work with to carry out this project (entrants should bear in mind the client’s aspirations to achieve a BREEAM rating of ‘excellent’ therefore this should include consultants with appropriate skills).    
     - Three client referees.
- A maximum of 12 pages to provide :
- Details of relevant or similar experience (including illustrations as appropriate, not more than 3-5 years). 
- Details of specialist skills the practice or team is able to bring to this project.
- Examples of projects where the proposed team (the architect and the proposed consultants) have worked together before.
- A single copy of the company accounts for the last three years (to be provided in addition to the 20 A4 sides)
- A fee proposal (further details to be provided at stage two).

Eligibility


The competition is open internationally to architect-led multi-disciplinary design teams.  It should be noted that the competition promoters will be looking to select a team with the capacity and resources to deliver the project and competitors should bear this in mind from the outset when applying for this competition.  Please refer to the ‘how to enter’ section of this brief.  You will be expected to complete the attached registration form confirming your status and your ability to deliver with a full team.

Timescale, Budget and Procurement


The University wishes to complete one phase of the accommodation development for occupation ready for the start of the January 2010 semester. The total value of the project is estimated to be in the region of £15 - 20million inclusive of fees and VAT (where applicable). It is anticipated that the project will be procured under a Design and Build contract with the Architect being novated. The University has appointed a Client Representative at this stage to aid in the progress of the project.

Deadline for practices to submit questions (in writing) relating to the briefing.

• 1st October 08
Responses to questions raised issued to the competitors

• 2pm, 31st October 08
Deadline for Submission of Designs

- 5th November – 12 November 08  
Assessment of designs and identification of shortlist by Jury Panel with the assistance of their advisers.

• 13th November 08
Shotlist notified.

• 21st November 08
Submission of supporting document

• 28th November 08
Team presentations and final judging

• w/c 8th (end) December 08
Notification to Shortlist of winning design

Each of the unsuccessful teams taking part in the second stage will be paid an equal honorarium of £6,000 inc. VAT.   The successful applicant’s honorarium represents an advance payment on fees for the full commission.

Anonymity


Stage 1 (the A1 boards, the A4 report and the CD) design submissions should be submitted without name, motif or distinguishing marks of any kind.  The designs should be accompanied by the declaration form provided, which should be placed in a sealed envelope marked ‘declaration of authorship’. 

A successful competitor must be able to satisfy the assessors that he/she is the bona fide author of the design he/she has submitted.

Anonymity will be lifted at stage two. 

Disqualification


A design shall be excluded from the competition:

- if received after the latest time stated under submission method;
- if, in the opinion of the assessors, it does not substantially meet the requirements of the brief;
- if a competitor shall disclose his or her identity, or attempt the influence the decision;
- if any of the mandatory requirements of the competition conditions and brief are disregarded.

Copyright


The ownership of copyright in the work of all competitors will be in accordance with the Copyright and Patent Act 1988, that is, copyright rests with the author.

Questions


Questions relating to the competition brief and conditions must be addressed in writing to the RIBA Competitions Office to arrive on or before 24th September.  A statement in response to all questions will be uploaded onto this website by 1st October.
